Create a login for each person and control exactly what they can do (create/edit/delete) and which parties and items they can touch. You can also limit editing of old vouchers.

In detail

Managed on the User screen (Administration tab → User). A simpler ‘new user’ screen just creates a name + password.

Step by step
  1. Open it — Administration tab → User, then Add (or open the person).
  2. Set a User Name and Password.
  3. Set each master's access level and tick the vouchers / reports the person needs.
  4. Set Allow Edit, Back Date Entry and Negative Stock Billing to match their role.
  5. If they should only see certain parties or products, set Ledger Permissions / Item Permissions.
  6. Save; the user logs in and sees only what you allowed.
Key points
  • Master access levels (Ledger, Item, etc.): Not Allowed / View Only / Create Allowed / Modify Allowed / Full Access / No Delete.
  • Yes/No rights per voucher, tool and report (Sale, Purchase, Receipt, Payment, reports, admin tools…).
  • Allow Edit — how long a voucher stays editable: No / Yes / Only 1 Day / Only 3 Days / Only 7 Days / Before Approval.
  • Back Date Entry — whether older dates may be used: No / Yes / 1 / 3 / 7 Days / Month Last Date (and combinations).
  • Negative Stock Billing — Allowed / Not Allowed / Warning (per user — see Features).
  • Ledger Permissions / Item Permissions limit a user to certain ledger / item groups.
  • Other per-user rights: Allow Cancel, Allow Delete, Allow MOP, Check Cr. Limit, rate / discount change rights.
Example
A counter-billing boy. Sale = Yes, Receipt = Yes; Ledger = View Only; Item = View Only; Allow Edit = Only 1 Day; Back Date Entry = No; Negative Stock Billing = Warning; reports off. He can bill and take money — nothing else.
Tip
Dropdowns control what a user can do; Ledger/Item Permissions control which data they can do it on.
Tip
“It won't let me edit yesterday's bill” is usually Allow Edit; “it won't take an old date” is Back Date Entry — two different settings.

User screen पर manage होता है (Administration tab → User)। एक सरल ‘new user’ screen सिर्फ़ एक name + password बनाता है।

Step by step
  1. इसे खोलें — Administration tab → User, फिर Add (या व्यक्ति को खोलें)।
  2. एक User Name और Password set करें।
